Privacy notice
This notice explains what personal information Mill & Reel collects when you use this website or book a free audit, why we collect it, and your rights under UK data protection law (the UK GDPR and the Data Protection Act 2018).
Who we are
Charlie Sogbetun, trading as Mill & Reel, is the data controller for the information described here. You can contact us about anything in this notice at [email protected].
Mill & Reel is the trading name of Charlie Sogbetun, a sole trader. Business address: [business address]. ICO registration number: [ICO number, once registered].
What we collect
- Quiz answers: your type of business, typical job value and how you currently handle enquiries. We use these to work out your Quick Mill Score.
- Score details: your company name, town, name, mobile number and email, which you give us to see your Mill Score. We save these when you see your score, even if you don't book a call.
- Booking details: your name, phone number, email address, business name and trade (optional), and the time you pick for your call.
- Audit research: to prepare your free audit we look at public information about your business, such as your Google profile, reviews, website and what AI tools say about you. We may also call or message your business as a customer would to test how quickly you reply.
- Technical data: basic information your browser sends, such as IP address and device type, kept in our hosting provider's security logs. We do not use advertising or tracking cookies on this website.
How we use it and why we're allowed to
| What we do | Lawful basis |
|---|---|
| Book your audit call, send you a confirmation and a reminder, and send your Mill Score report | Steps you asked us to take before a possible contract |
| Research and test your business for the audit | Legitimate interests: preparing the audit you requested |
| Follow up after your score or your call about working together. We phone, or email a company address. We only text or email a sole trader or partnership if you ticked the box to say we can | Legitimate interests, and your consent where you ticked the box. You can tell us to stop at any time |
| Send occasional emails with tips or offers | Only with your consent, and you can unsubscribe in every email |
| Keep the website secure and working | Legitimate interests |
| Keep business and tax records if you become a client | Legal obligation |
We never sell your information. If you get a score but don't book, we may phone you, or email a company address, about your audit. We only text you, or email a sole trader or partnership, about offers if you ticked the box to say we can.
Who we share it with
We only share your information with the services we use to run Mill & Reel, under contracts that require them to protect it:
- Website hosting and security (Cloudflare)
- Call booking and calendar (Cal.com)
- Our customer system for messages, texts and follow-ups (GoHighLevel)
- Email and video call providers we use to talk to you
Some of these providers process data outside the UK, for example in the United States. Where they do, we rely on the UK's approved safeguards, such as the UK Extension to the EU–US Data Privacy Framework or the UK International Data Transfer Addendum.
How long we keep it
- If you get a score or book an audit but don't become a client: up to 12 months after our last contact, then deleted.
- If you become a client: for the length of our agreement and then 6 years, for tax and legal reasons.
- Security logs: no longer than our hosting provider's standard retention.
Your rights
You have the right to ask for a copy of your information, to correct it, to have it deleted, to restrict or object to how we use it, and to move it to another provider. Where we rely on consent, you can withdraw it at any time. Email [email protected] and we will reply within one month.
If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Our clients' customers
When we run enquiries, texts and reviews for a client business, we do this on that business's behalf. For those customers, the client business is the data controller and its own privacy notice applies, with Mill & Reel acting as its processor.
Changes to this notice
We'll update this page if anything changes and show the date at the top.
